A short answer to
“Can we meet in person?”

Say we can’t meet, offer a screen-share with their partner, and ask if that works. Two short messages are enough.

1. The first reply

“Normally” never answers whether we can visit. Keep the screen-sharing benefit and the question; drop the claim that their preference is less efficient.

There is nobody available to send. “Let me check” leaves them waiting for a visit we cannot arrange.

If in-person is a firm requirement

Use this once; don’t keep selling the call.

I understand. We can’t arrange an in-person meeting, sorry. If a Google Meet works for you later, just let me know.

Continue on WhatsApp if they want to. A clear rejection or stop request ends outreach. This is not a no-show.

3. Two options for you to consider

You join the call

Useful if they want someone senior involved. Once you’ve agreed to join, Farhan can add:

Our director can join us too, if you’d find that helpful.

Optional, not part of every booking. Confirm attendance first. The same applies to a colleague joining for a specific question.

The reason: keep it simple

My pick: keep “we can’t meet in person at the moment”. It states the limit without a long excuse.

If they ask why:

We don’t have anyone available for in-person meetings at the moment.

If a leg injury is the real reason for the person sending it, Message 1 could instead be:

I’m recovering from a leg injury, so I can’t meet in person right now. Could we do a Google Meet instead?

Use that only if true. Don’t promise a future visit date. Google Meet’s benefit is the shared screen and discussion, not a claim that meeting in person is pointless.

4. Close the remaining gaps

Once they agree to Google Meet: keep their day where possible and check a real slot after 7pm. Tuesday alone is not a confirmed appointment.

I can do Tuesday at «checked time after 7pm». Would that suit you both?

The missing exits

The meeting section currently offers only “On The Call → Close” and “No-Show → Follow Up”. Add routes for the replies below.

Accepts / prefers text
Book the agreed Meet, or answer the actual questions on WhatsApp. A call stays optional.
Partner first / later date
Use partner review or their agreed check-in date. A joint call is optional.
Silence / firm no
Silence uses the existing stage follow-up. A firm no or stop ends outreach. Existing follow-up rules →

Keep the booked-call and no-show routes. Being on a call is not consent to buy: use the existing close rules only after a genuine yes.

Chain of command

Farhan handles the meeting reply once you approve it. No need to escalate a settled no-visit policy.

Julian handles unresolved scope, terms or ongoing-service requests. Send the client’s words, the specific uncertainty and a proposed answer. Don’t imply that a visit exception is being checked.

Jason also asked about ongoing website and social ads support. That still goes to you; this proposal does not create a full-service pitch. Redesign remains parked.

  1. Rewrite the first in-person reply as the two short messages above.
  2. Replace “let me check” and its internal-referral instruction. Address the reason, or use the firm-requirement reply.
  3. Clarify the meeting rules: consent to the format, checked evening availability, no unarranged attendance or live-edit promises.
  4. Add the day-only and unavailable-time lines, plus the missing outcome routes. Keep existing booking and follow-up replies linked rather than duplicating them.
  5. Keep the truthful virtual-office answer. If they ask to visit, also give the no-visit reply.

A correction to the older report

The meeting exchange shows an unresolved request. It does not prove why the whole deal was lost. The earlier report also overstated “every message was word for word”: the opener added “and your partner”, and the next-day message differed from the templates.

The older cover summary still contains those claims. This reader contains the revised assessment.
